Before You Book Your Hire
When you hire from Coastline Hire, you are responsible for the equipment from the time it leaves our Beacon Bay yard until it is checked back in. Please make sure the item suits the job, the site and the power or load needs before confirming. If you are unsure, ask our team for a pre-hire briefing. That is especially useful for generators, compactors, pumps and scaffold jobs where site conditions can change fast.
We work across East London, Beacon Bay, Gonubie, Kidds Beach, Qonce and Port Alfred, so delivery times may vary based on traffic, access and weather. Coastal humidity, soft ground and uneven municipal sites can affect how gear performs, and it is better to plan for that up front.
- Check the machine size, power rating and access space before booking.
- Confirm whether you need delivery, collection or on-site setup.
- Tell us about any slopes, sand, mud or restricted access.
- Ask about weekend hire or long-term hire if the work runs over.
What You Must Have Ready On Site
The hirer must provide safe access to the site and enough room for unloading, operation and collection. If our driver cannot reach the area or the surface is too soft, we may need to leave the item at a safer point or reschedule. For event gear, please have the layout planned before delivery if you want help with placement. For scaffold, the base area must be cleared and ready for planning before any assembly starts.
Fuel, water, extension cables and trained operators must be available where needed. If you choose fuel management, we will discuss how much is required and how top-ups are handled. Load shedding can affect schedules, so generators should be started and tested early, not after the site has already gone quiet.
- Keep children, guests and unauthorised people away from active equipment.
- Provide a contact person on site for delivery and handover.
- Make sure any municipal or site rules are followed before work begins.
- Allow time for setup, checks and safe packing away at collection.
How We Handle Delivery, Setup And Collection
We offer site delivery, equipment collection and on-site setup for selected hire items. Our team will explain what is included when you book, because some items need only drop-off while others need installation, positioning or a handover briefing. Event customers can ask Megan and the team for layout help so tables, shade, lights and power points are set out sensibly for the space.
For scaffold, a planning discussion is needed before we send equipment out. That helps avoid delays and makes sure the tower or scaffold layout suits the working height and the ground conditions. If you need emergency callout support, please tell us exactly what stopped working and where the site is located, then we will advise what can be done.
- Delivery and collection times are arranged in advance where possible.
- Waiting time may be charged if the site is not ready on arrival.
- We may refuse setup if the site is unsafe or access is blocked.
Care, Damage And Loss While Equipment Is On Hire
Once the hire starts, you are responsible for keeping the item in good condition. Normal wear from proper use is expected, but damage from misuse, neglect, overloading, theft, water ingress or unauthorised repairs may be charged to the hirer. Salt air and coastal damp can also cause issues, so machines should be kept as dry as practical and returned clean. If a pump, generator or compactor starts making unusual noise or stops working, switch it off and call us straight away.
Do not open, modify or repair equipment unless we have given written or verbal approval. If something is missing on return, we will check the hire sheet and note the condition when the item comes back. This is fairer for everyone and keeps the fleet moving for the next customer.
- Report faults as soon as they appear, not after the hire period ends.
- Return all leads, hoses, pins, fittings and accessories with the main item.
- Use only the equipment for the job it was hired for.
Return Expectations And Late Returns
Please return equipment on the agreed date and time, or arrange an extension before the due time if you still need it. Late returns can affect other bookings, especially over weekends and busy building periods in East London and Qonce. If you collected the item yourself, bring it back clean and complete. If we collected it, it should be left ready for pickup and safe to remove.
Items should be washed down where practical, with mud, sand and cement removed. Generators and pumps should be emptied or prepared as instructed, and event gear should be packed in the way it was issued. If an item is returned dirty or incomplete, cleaning or replacement charges may apply. A little care saves time and cost for everyone, and keeps the hire process moving.
- Keep the return time visible on your job card or invoice.
- Tell us early if weather, transport or site delays will affect return.
- Make sure keys, covers and caps are handed back with the equipment.
Payments, Deposits And Account Responsibility
Hire charges must be settled as agreed at booking, unless you have an approved account arrangement. Deposits may be required depending on the item, the hire length and the site risk. The person or company named on the booking remains responsible for the account, even if someone else collects or uses the equipment. Please check all charges carefully before leaving the yard or approving delivery.
If an invoice is disputed, raise it as soon as possible so we can go through the hire record, delivery note and return check. For businesses working across multiple sites, it helps to keep one person responsible for each booking. That way the right gear goes to the right place and nothing gets mixed up between jobs.
- Ask for a copy of your booking details if you need them for site admin.
- Keep your contact details up to date for delivery and collection.
- Email hire@coastlinehire.co.za if you need clarification on any charge.
