How to book equipment without back-and-forth
Send us your list of items by email to hire@coastlinehire.co.za or phone through your order details with the dates you need. The quickest way is to include the item name, the collection or delivery suburb, and whether you need it for a few hours, a weekend, or longer. If you are based in Beacon Bay, Gonubie, Kidds Beach, Qonce or Port Alfred, mention that early so we can plan transport properly.
We will confirm what is available, what the hire period is, and whether any extra fittings, hoses, cables, planks or fuel need to be added. For larger jobs, we may ask a few questions about access, ground conditions, or generator size so the kit matches the job first time.
- Tell us the date and time you need the equipment
- Confirm the site address and suburb
- Say if you need delivery, collection, or both
- Let us know if the hire is for building work or an event
Deposits, payments and proof of hire
A deposit is usually required before release, especially on higher-value items, long-term hires, or bookings that need a hold on stock. The amount depends on the equipment and the hire period. We will advise this before you collect or before we dispatch anything to site so there are no surprises.
Most customers pay by electronic transfer, and in some cases we can assist with card payment at the office. If you are collecting after hours or on a tight programme, send proof of payment through as soon as you have made the transfer. That helps us release the order quicker, which is handy when load-shedding or weather has already slowed the day down.
- Deposits may be needed to secure stock
- Payment should be made before release unless agreed otherwise
- Keep your proof of payment handy for faster processing
- Ask for a quote if you need to compare options across a few items
Collection, delivery and site access around the coast
You can collect from our Beacon Bay base, or we can arrange delivery across East London and the surrounding coastal areas. Delivery is often the better choice for heavier plant, scaffold loads, pumps, or event equipment that needs positioning on site. If the route includes a narrow gate, soft ground, stairs, or limited parking, tell us before the truck leaves.
For site drop-offs, we appreciate clear access instructions and a contact person who will be on site. Builders often want equipment placed close to the work face, while event teams may need items put in a specific order so setup starts smoothly. Coastal humidity, wind and salt air can affect exposed equipment, so correct placement and cover matter a lot.
- We deliver to East London, Beacon Bay, Gonubie, Kidds Beach, Qonce and Port Alfred
- Let us know about slopes, soft shoulders or restricted entrances
- Tell us if you need offloading help on arrival
- Ask for collection times in advance if your site has limited access
Hire periods, weekend use and longer projects
Hire periods can be arranged for a day, a weekend, a week, or longer where the project calls for it. Weekend hire is common for both home projects and event setups, and we can usually plan around Friday collection and Monday return where stock allows. For builders, longer-term hire is often the practical choice when the job runs in stages and equipment needs to stay on site.
If you are unsure how long to book for, rather allow a bit of extra time. Returning late can affect the next booking, and it may also mean extra charges. A simple phone call can often sort an extension if the item is not already committed elsewhere. We’d rather know early than scramble later.
Availability, swaps and emergency callouts
Availability changes quickly on busy weeks, especially for generators during outages, compactors on building jobs, and party gear during season. The earlier you ask, the better chance we have of holding the right unit. If the exact item you want is not available, we will tell you what can work instead rather than leaving you guessing.
For urgent work, we do our best to assist with emergency callout requests where transport and stock allow. This is useful when a site loses power, a pump fails, or an event needs a last-minute replacement. If timing is critical, say so plainly and give us the site contact number so we can respond faster.
- Book early for peak dates and month-end construction rushes
- Ask about a suitable alternative if your first choice is out
- Give us the urgency level if you need same-day help
- Keep your phone on for stock confirmation or route updates
Returning equipment clean, complete and on time
Before return, please clear mud, waste, tape, and loose material from the equipment. That saves time at handover and helps us check everything properly. Missing parts, damaged leads, broken fittings or wet items can delay the check-in process, so it is worth doing a quick inspection before you load up.
If we collected from your site, have the gear ready in the agreed place and let us know about anything that was damaged or used differently from expected. If you are bringing equipment back yourself, pack it carefully and secure small parts. A little care on return keeps the next hire moving and avoids unnecessary costs.
