Privacy policy

Coastline Hire respects your privacy and handles personal information in line with the Protection of Personal Information Act, 2013 (POPIA). This policy explains what we collect, why we collect it, and how we protect it when you contact us, hire equipment, or request support.

Who this policy applies to

This privacy policy applies to Coastline Hire, a coastal tool and plant hire business based in Beacon Bay, East London, serving East London, Gonubie, Kidds Beach, Qonce and Port Alfred. It also applies to visitors, clients, suppliers, site contacts and event organisers who share personal information with us by phone, email, in person or through service requests.

The operator responsible for this policy is Astros Marketing (Pty) Ltd, acting on behalf of Coastline Hire. If you deal with our team for site delivery, equipment collection, event hire or long-term hire, your information will be handled for business purposes connected to those services.

What information we collect

We only collect personal information that is needed to quote, supply, deliver and manage hire services. This may include contact details, ID details where required, delivery addresses, site access notes, billing information and records of equipment hired. For event work or scaffold planning, we may also record venue details, booking times and on-site contact names.

  • Name, phone number and email address
  • Physical address, site address or event location
  • Company name, role and VAT or account details where applicable
  • Hire dates, delivery instructions and collection details
  • Payment records, invoice history and communication notes

Why we use your information

We use personal information to provide quotations, confirm availability, arrange site delivery, manage fuel requirements, set up equipment and support emergency callouts. We also use it to keep records of hires, respond to enquiries, manage accounts and meet legal, tax and operational duties.

In the Eastern Cape coast, weather, road access and site conditions can change quickly, so accurate contact and location details help us avoid delays and deliver the right equipment on time. Where a customer asks for pre-hire briefing, scaffold planning or event layout help, we use the relevant information to prepare correctly and limit risk on site.

How we store and protect personal information

We take reasonable technical and organisational measures to protect personal information from loss, misuse, unauthorised access and unapproved disclosure. Access is limited to staff who need the information for operational purposes, including scheduling, fleet coordination, customer support and workshop management.

Records may be stored in physical files, email systems or electronic business records. We retain information only for as long as it is needed for service, legal, accounting or dispute purposes. Once it is no longer required, it is deleted or destroyed in a controlled manner.

When we may share information

We do not sell personal information. We may share it only where needed to complete a hire or to comply with the law. This can include sharing delivery details with a driver, site contact information with a technician, or account records with an accounting or compliance service provider acting under instruction.

  • To deliver equipment or arrange collection
  • To support safety checks, setup or breakdown on site
  • To process payments, invoices or account queries
  • To comply with legal, tax or regulatory duties
  • To protect our rights, property or staff where necessary

Your rights under POPIA

You may request access to the personal information we hold about you and ask us to correct information that is inaccurate, incomplete or outdated. You may also object to certain processing where POPIA allows it, or ask us to stop using your information for direct marketing.

  • Ask what personal information we hold
  • Request corrections or updates
  • Object to processing in lawful cases
  • Withdraw consent where consent was used
  • Lodge a complaint if you believe your rights were not respected

To exercise these rights, contact us at hire@coastlinehire.co.za. We may ask for proof of identity before making changes, to protect your information from unauthorised requests.

Contact details and policy changes

If you have a privacy query, please contact Coastline Hire at hire@coastlinehire.co.za. We may update this policy from time to time to reflect legal changes, operational changes or improved handling practices. The latest version will apply from the date it is published.

By dealing with Coastline Hire, you acknowledge this privacy policy and agree that your information may be used for the purposes described above. If you do not agree, please let us know before sharing personal information so we can discuss whether and how we may still assist you.
